Why your labels print off-center (and how to fix it for good)
You line up a sheet of labels, hit print, and the text sits three millimetres too high. Every label. The whole sheet is wasted, so you nudge the margin and try again, and now it’s two millimetres too low.
This is one of the most common and most infuriating problems in label printing, and it’s almost never a problem with your label file.
The cause: printers don’t start where they say they do
Every printer has a small mechanical offset. Paper is pulled in by rollers, and where the sheet physically sits when printing begins differs from where the driver assumes it sits — usually by one to three millimetres, and consistently in the same direction for that printer.
On a normal document you’d never notice. On a die-cut sheet, where content has to land inside a fixed grid, a 2 mm shift is the difference between a clean label and a barcode split across the gap.
Two clues that tell you it’s printer offset rather than a bad layout:
- The error is the same on every label. A layout problem gets progressively worse down the page; an offset problem shifts everything equally.
- The same file prints correctly on a different printer.
If the drift increases down the page, you have a scaling problem instead — jump to the last section.
Fixing it: measure once, don’t guess
The nudge-and-retry loop wastes sheets because you’re guessing in the dark. Do this instead.
1. Print an alignment test page on plain paper. You want something with a known reference — a rectangle drawn at the exact position and size of the first label, ideally with a millimetre scale along the edges.
2. Hold it against a real label sheet, up to a window or a lamp. The backing is translucent enough to see the die-cut outlines through the plain paper.
3. Measure the gap in millimetres, with direction. “The printed box sits 2 mm above and 1 mm left of the actual label.” Use a ruler with a real mm scale, not a guess.
4. Enter that as an offset, so the entire layout shifts by 2 mm down and 1 mm right — every label at once, not label by label.
5. Save it against that printer. The offset is a property of the printer, not the job. Once measured, it should apply to every future print automatically. That’s the difference between fixing it once and re-discovering it every month.
If the drift gets worse down the page
That’s scaling, not offset, and it has a different fix.
Something in the chain is resizing your document — usually “Fit to page”, “Shrink oversized pages”, or “Scale to fit media” in the print dialog. At 98% scale the first label looks nearly right and the tenth is 5 mm out, because the error compounds with every row.
Set the print scale to 100% / Actual size and turn off every fit-to-page option. Then re-run the alignment test.
A quick way to confirm scaling is the culprit: print a page with a line you know should be exactly 100 mm and measure it. If it comes out 97 mm, you’re printing at 97%.
Other things worth checking
- Load the sheet the right way round. Most label sheets have a distinct top; flipping them changes which corner the grid starts from.
- Use the manual feed tray if you have one. It usually has a straighter paper path and less skew than the main cassette.
- Don’t mix stock mid-run. Different paper weights feed slightly differently.
- Check for skew, not just offset. If labels are rotated a fraction of a degree rather than shifted, that’s a feed/roller issue no software offset can correct.
